📄 This privacy policy applies to all users and partners of My Sherpa: clients, students, parents, coaches, trainers, and anyone involved with our services.

1. Who are we?

My Sherpa SRL (“My Sherpa”), also operating under the brands Studant and Educadomo, is a private limited liability company headquartered at Avenue Franklin Roosevelt 56, 1050 Brussels (BE 0882.782.152). We are responsible for processing the personal data of coaches and clients.


2. Data collected

Coaches

  • Name, first name, address, mobile number, email, national ID number, criminal record extract, tax/VAT status
  • CV, grade sheet or diploma
  • Mission and communication history

Clients

  • Name, first name, address, email, phone number
  • Billing and payment data
  • Educational information or needs expressed for the services

3. Purpose of data processing

  • Account, mission, billing, payment, and support management
  • Communication and educational follow-up
  • Service improvement and personalization
  • Compliance with legal obligations (accounting, tax, security)

4. Data sharing

For coaches

When a mission is accepted and confirmed, only the coach’s first and last name, mobile number, and email address are shared with the student and their legal guardian.

For clients

During coach selection, the coach receives only the student’s first name and a general area indication (not the full address). Only after the mission is confirmed are the full details (name, phone, address, email) and any necessary documents (e.g., grade sheet) shared with the coach.

Authorized third parties

Some data may be shared with authorized third parties to meet our legal obligations (e.g., accountants, Belgian tax authorities for coach declarations).

No data is ever sold or used for external commercial purposes.


5. Data retention

Data is retained for the duration necessary to fulfill missions, then for the legally required period (e.g., 7 years for accounting records). Non-mandatory data may be deleted or anonymized upon request.


6. Security

We implement strict technical and organizational measures (secured servers, restricted access, regular backups) to ensure the confidentiality, integrity, and availability of your data.

Coaches and clients may request the deletion of their account via:

Once processed, all data will be deleted, except for data legally required to be retained (e.g., billing documents, accounting records, tax declarations).
⚠️ Deleting an account does not release the user from their ongoing contractual obligations (e.g., courses to be given or received, outstanding invoices).


9. Use of cookies

Anonymous analytics cookies are used to improve user experience. They do not collect any personally identifiable data.


10. International data transfers

Data is hosted and processed within the European Union. No transfers to third countries occur without adequate contractual safeguards.


11. Changes to the policy

We reserve the right to amend this privacy policy. Any updates will be published on our website and dated. We recommend reviewing it regularly.
